Workflow automation
AI workflow automation and business process automation services
By Yash Soni, Founder & CEO, Apex36Updated
In short
Business process automation means handing the repeatable steps of a business process to software: moving data between systems, checking documents and routing requests. AI workflow automation adds models that read email and documents and decide where they go, with a person reviewing what is uncertain. Apex36 maps the manual work with your team and builds your first automated workflow from $5,000, with an audit trail and code you own.

What is business process automation?
Business process automation (BPA) is the use of software to run the repeatable steps of a business process, such as copying data between systems, checking a document against rules or sending a request to the right person, so people only handle the exceptions. The hard part is rarely the code. It is knowing which steps are truly repeatable, which need a person, and what record each decision must leave behind. That is where we start.
AI workflow automation: where AI helps and where rules are better
AI is good at reading: sorting email, pulling fields out of documents, judging whether a report is relevant. Rules are better when the logic is fixed: who approves what, which folder a sender belongs in, which field must match. Most of our workflows use both. Rules handle what is certain, AI handles the reading, and anything the system is unsure about goes to a person instead of being forced into a category.
How we work: we sit with your team and map the manual work
- Map: we sit with the people who do the work, write down every step, and mark which steps are repetitive, rule-based or reading-heavy.
- Pick: we choose the one workflow where automation saves the most time for the least risk, and agree what "done" looks like.
- Build: we build it on your real data, in your cloud account, with a review queue for uncertain cases.
- Run: we watch it in production, fix what it gets wrong and hand over a runbook your team can use.
You see a demo and a written changelog every week.
Business process automation services we build
- Inbox triage: classify, route and file incoming email, with a log of every decision
- Spreadsheet to software: turn the spreadsheet your team runs on into a web app with logins, roles and an audit trail
- Document processing: pull fields out of PDFs, forms and web pages into your systems
- Records between systems: move and check data between your CRM, ERP, inbox and databases
- Reporting: replace the weekly report someone builds by hand with one that builds itself
- Review queues: a screen where your team approves, corrects or overrides what the automation did
Procurement, purchase order and ERP automation
Procurement teams often spend hours preparing data before it can go into the ERP: reformatting files, checking fields, fixing mismatches by hand. We automate those steps before ingestion, so clean data reaches your ERP and purchasing systems without the manual pre-work. For a US enterprise automaker, we built serverless AWS automations that prepare and validate data ahead of SAP and Coupa ingestion. We also automate purchase order checks and matching, and connect other ERP systems through their APIs.
Invoice and document processing automation
We build invoice processing automation that reads invoices from email or upload, extracts supplier, amounts and line items, checks them against purchase orders and your rules, and sends only the exceptions to a person. The same pattern works for other documents: forms, reports and scans. For a pharmacovigilance operator, our screening software fetches literature every week, extracts the relevant text and classifies each item, with a verbatim quote behind every safety verdict.
Data engineering services behind the automation
Automation is only as good as the data it runs on. We build the pipelines a workflow needs: ingestion from APIs, inboxes and files, validation, deduplication, scheduled runs with retries and dead-letter queues, and storage in PostgreSQL or your warehouse. Every run is logged, so a failed source shows up as a failed run instead of silence. For a US enterprise automaker, we built pipelines that prepare and validate data before SAP and Coupa ingestion.

Intelligent process automation with an audit trail
Every workflow we ship records what happened and why: the input, the rule or model that decided, the version of that rule or model, the action taken and any human correction. In regulated work we make the log append-only, so corrections are added as new records and nothing is silently edited. You can answer "why did this email go there?" months later.
What workflow automation costs
A first automated workflow starts at $5,000. That covers one workflow from one source system to one destination, running on your data with a review queue and a log. More sources, more systems, high volumes or regulated audit needs move the price up. AI model and cloud costs are billed to your own accounts. You get a fixed quote in writing after the free assessment. See pricing for every service.

At Apex36, a first automated workflow starts at $5,000, including a review queue and an audit log. The readiness assessment before it is free. AI model and cloud costs are billed to your own accounts, and you get a fixed quote in writing before the build starts.
Rule-based automation follows fixed logic you write down; AI workflow automation can also read unstructured input such as email and documents. We use rules where the logic is certain and AI where reading is needed, and send uncertain cases to a person.
Yes. We build invoice processing that reads invoices from email or upload, extracts the fields, checks them against purchase orders and your rules, and sends exceptions to a person. It runs in your cloud account and logs every decision.

Yes. We have built automations that feed SAP and Coupa, and we connect other ERP systems through their APIs or file exports. We automate the work around the ERP rather than changing the ERP itself.
A first workflow is typically live in 2 to 4 weeks, depending on data access and how many systems it touches. You see a demo and a written changelog every week.
For a simple two-step flow, a no-code tool can be enough and we will say so. When a workflow crosses several systems, handles sensitive data or needs an audit trail, we build custom software in your own cloud account that you own.
